Grants Assistant Job Purpose
- Reporting to the Grants Manager the post-holder support the Grants Team in carrying out administrative follow up and communication with grantees.
- S/he assists in the administration of Making All Voices Count grants and contracts from initial inquiry by grant seeker to contract closure and end.
- S/he works with the Grants Team to manage the routing of web and other applications, is responsible for primary data entry and quality control of Making All Voices Count grants into the contracts database (Osiris), maintains project and proposal files as needed and manages overall documentation needs.
- Assist with the grant making process to ensure that Making All Voices Count grant making activities are smoothly implemented
- Respond to grant seekers’ requests for information and assist with the application process
- Coordinate routine correspondence with grantees, applicants and Programnme staff
- Manage data entry of all proposals received and save all proposals to Making All Voices Count Grant Management System and Intranet.
- Acknowledge receipt of proposals and maintain systems for tracking proposals within Making All Voices Count
- With Grants Manager and Grant Officers, monitor proposals as they move through the review process, and identify and collect outstanding application materials
- Assist with preparation and disbursement of grant agreements and award letters as needed
- Use grants management system for collecting and tracking receipt of grantee reports
- Provide reports and respond to inquiries and grants histories as requested
- Maintain both electronic and paper files related to all aspects of the grants cycle, including: grant application materials, grant agreement and disbursement, correspondence with prospective grantees; and collect and maintain program staff materials related to grant recommendation and rejections.
- Maintain grantee and grants committee contact lists
- Keep informed of the “best practices” in the grants management field and recommend improvements to the grants management process
- Provide back up for the Grants Manager
- Manage all logistics related to grantmaking meetings
- Manage events processes including developing event budgets and monitoring of expenditures
- Assist in producing invitations, disburse invitations
- Manage RSVP Lists
- Manage preparation and copying, packing and mailing of meeting materials
Qualifications and Experience
- A Bachelor’s degree or two to four years’ experience in NGO sector
- Excellent written and verbal English
- Administrative project management skills
- Proficient in computer use
