The Senior Office Manager will provide high-level clerical and administrative support under very limited review that requires experience, initiative and is seen as very confidential in nature for one or more senior managers. The successful candidate must be able to solve problems and make decisions within authorized limits, exercise independent judgment in selecting and interpreting information, handle deviations from standard methods and resolve difficulties. Actions typically have a moderate influence on the results. Duties are carried out within broad guidelines defined by the candidate’s manager.
Key Responsibilities
- Type, format and proofread memoranda, more complex reports, letters, charts, graphs and e-mail messages using word processing, spreadsheet and data management applications
- Maintain records and files in hard copy and/or automated data base format
- Answer and screen telephone calls, handle inquires or direct them to the appropriate information source
- May perform a variety of accounting-related clerical duties, checks records, prepare invoices, vouchers and posts records, etc
- Compile accurate data to prepares reports as needed
- Handle routine and/or more complex maintenance requests / complaints or coordinate with building vendors for more complex requests / complaints involving janitorial, electrical, Internet service, etc
- Order and maintains office supplies
- May assist / coordinate moving and storage of office furniture and equipment
- May set-up conference / training rooms for meetings
- Make meeting and travel arrangements as required for multiple staff
- Handle routine and sometimes more complex inquiries and information requests
- Prepare and process paperwork necessary for purchase orders, invoice payment, expense reports, etc
- Ensure office supplies are adequate and equipment is in proper working order
- Perform more complex office duties as requested
- May assist and help mentor junior level administrative personnel
- Routine but extensive contact with employees, clients, subcontractors, vendors and service personnel
- May interact with more senior level staff and employees on a regular basis
- Other duties as assigned
- High School Diploma or equivalent
- Typically 5+ years of related experience
- Some formal secretarial or business training
- Requires continuous use of technical, business and engineering vocabulary
- Detailed knowledge of company operations, organizational procedures and personnel
- Within established guidelines makes independent decisions regarding planning, organizing and scheduling own work
- May frequently coordinate work for several other support staff members
- Highly proficient with word processing and spreadsheet software packages
- Ability to use a personal computer
- Ability to operate common office equipment (photocopying, facsimile, transmittal, telephone call director, etc.)
- Proficient in all aspects of secretarial and organizational skills (e.g., proofreading, typing speed 40 + wpm may be required)
- Knowledge of accounting terms / procedures may be required
- Flexibility to work outside normal business hours as required
- Familiarity with company, office group and policies and procedures
- Ability to work under pressure or deadlines and handle multiple priorities
- Ability to handle confidential and sensitive information in an appropriate manner

- The position is based in Nairobi, Kenya and may require travel within the Nairobi area
- A driver’s license is highly desirable
- Travel outside of the local Nairobi area may be required however international travel is not anticipated
