Human Resource Assistant (National Office)

Key Functions of the Job
  • The Human Resource Assistant reports to and is supervised by the Human Resource & Administration Manager.
  • He/she is in charge of all HR records and supports the HR Officer in administration of the day-to-day operations of the human resource functions to achieve overall implementation of human resource strategies, policies, and procedures.Key performance areas and main responsibilities:
  • Ensures effective management of Human Resource Records and support administration at all levels.
  • Receives and records incoming correspondence from facilities. This includes efficient and prompt handling of general correspondence and enquiries for internal and external customers satisfaction as forwarded to HR department.
  • Maintaining and managing accurate human resource records by updating the employees data bank, filling and keeping all employee’s documents in their respective files and opening files for new employees.
  • Ensure all files are up to date as per the checklist.
  • Managing general human resource administration processes through renewal of contracts, drafting letters for separating staffs, transfer, commendation, appeals, memos, bank letters, certificate of service and appointment letters, NHIF & NSSF letters e.t.c
  • Maintaining all leave records and updates to achieve coordinated leave administration process.
  • Key in primary information in the HRIS.
  • Ensures all new staffs receive information/induction packs with a copy of their job description, copy of relevant SOS CV KE employment documentation upon employment.
  • Ensuring that staff attendance records is maintained for action and decision making.
  • Managing payroll changes for submission to finance for compensation purposes
  • Monitors and advises on anomalies noted on staff documentation staff salary adjustments, promotions etc, ensuring the correct channels are followed and unauthorised adjustments are avoided.
  • Maintains and provides necessary support in the implementation for use of all Human Resources forms and documentation such as leave forms,exit survey forms, application forms etc.
  • Support in performance management process with key task of coding of appraisal documents.
  • At all times ensures that personal data of donors, sponsors, SOS CV beneficiaries and their families as well as SOS co-workers is handled with utmost confidentially and in accordance with prevailing SOS-Kinderdorf International data protection laws.
Required Qualification, Skills & Experience.
  • A Degree in Social Science discipline from a recognized University
  • Those with a Diploma in Human Resource Management will have an added advantage.
  • Working knowledge of excel spreadsheets and Microsoft work.
  • A minimum of 1 year’s hands on work experience in a busy HR office.
  • Strong interpersonal and negotiation skills.
