The Position
- Employed by the PharmAccess Foundation, the overall responsibility of the Executive Assistant is to support management in the organization, planning, monitoring and reporting of all work streams and related activities.
- The Executive Assistant will be in charge of all work-related planning and monitoring systems. While the line managers assume responsibility for actual work planning, implementation, monitoring and reporting, the Executive Assistant will ensure timely delivery that meets accepted formats and procedures.
- The Executive Assistant will maintain and supervise the application of database systems i.e. AfriDB and MCF Base and directly liaise with those in charge of the same at the Amsterdam office.
- The Executive Assistant will work closely and effectively with the senior management to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- The Executive Assistant will supervise the production of periodic and incidental internal and external reports from the Nairobi office applying current quality, design/layout and submission requirements and is responsible for final editing before approval and submission to senior management.
- The Executive Assistant will complete a comprehensive variety of administrative tasks for the Operations Director & Country Director, including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.
- The Executive Assistant will plan, prepare, document and report all discussions of senior management and board meetings.
- The Executive Assistant will perform representative duties on behalf of the Operations Director and the Country Director. Additionally, he/she will act as the relationship manager for visiting guests.
- The candidate must be able to maintain confidentiality and exercise discretion
Experience and Educational Qualifications
- The preferred candidate will have ample experience in management support, report writing and data base management.
- The candidate must have strong organizational skills demonstrating ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- The candidate must have outstanding interpersonal qualities in view of liaising between senior and line management as well as with HQ staff and external stakeholders.
- The candidate must have expert level writing and communication skills. He/she must be well versed in drafting, writing and editing of internal and external reports on the basis of international standard of quality and design.
- The candidate must be gifted with an open, consensus focused personality, display a supportive attitude, be stress resistant and apply creativity and ingenuity in problem solving.
- The candidate must have demonstrated proactive approaches to problem-solving with strong decision-making capability.
- The candidate must demonstrate ability to achieve high performance goals and meet deadlines in a fast paced environment.
- The candidate must be a forward thinker who actively seeks opportunities and proposes solutions.
- The candidate must have a tested understanding and mastering of database systems and be able to formulate suggestions for update or adjustment if so required.
- Preferably, the candidate is able to support the introduction of CRM software.
- University degree in Business Administration, Organizational Development, Human Resource, Communication or equivalent.
- 5 years’ experience in a similar position.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
