Warehouse / Stores Officer

Purpose: To ensure the effective flow and storage of goods to ensure effective inventory control with accuracy.

Key Duties / Responsibilities

  • Offloading, verification, put-away and issue and of materials.
  • Compiling records of supply transactions.
  • Verifying that supplies received are listed on purchase orders and invoices.
  • Counting and verification of inventory.
  • Updating inventory records within the prescribed computerized inventory system (SAP).
  • Handle all users’ requests and issue materials as per the agreed issuing schedule and procedures and using the appropriate documentation.
  • Maintain manual ledgers parallel to the SAP database as a long term control tool.
  • Ensure stores cleanliness, organization and housekeeping at all times.
  • Ensure the safety of the stores e.g. safekeeping of the keys; ensure fire extinguishers are working, etc.
  • Liaise with all users for the items received from suppliers to ensure that the right items have been delivered.
  • Archiving the old files kept in stores.
  • Receive/crosscheck all goods purchased and raise the Goods Received Note (GRN) against Purchase Order as evidence that goods have been delivered.
  • All the GRN Shall be crosschecked and approved by the store supervisor before the items are transferred to stores.
  • Maintain all stocks with the highest degree of care, integrity, and honesty and in the most transparent manner.
  • Ensure goods/services received are of the right quality and that the quantity as described on the Purchase Order.
  • Reporting of re-order level for frequently consumed items.
  • Prepare stock report on weekly basis for review by store supervisor.
  • Any other duty that may be assigned.
Minimum Academic and Professional Qualifications
  • Degree/Diploma in Purchasing and Supplies or any other business related field.
  • 3-4 years’ experience in a similar field.
  • Knowledge, Experience and Skills
  • Quality conscious and keen attention to detail.
  • Good planning and organizational skills.
  • Good communication skills both written and spoken.
  • Main Internal Contacts:Customers
  • All company departments.
  • Suppliers
  • Materials Management (Materials Planners).
  • Category buying officers.
Key Performance Indicators
  • Stock accuracy.
  • Cycle count stock accuracy.
  • Rate of closing reservations.
  • Receiving cycle time.
