Within delegated authority, the Human Resources Assistant will be responsible for the following duties:
  • Initiate, review, process and advertise Vacancy Announcements (VA), oversee the maintenance of the Section’s VA files and keep tract of status of current VAs;
  • Assist in building job openings in Inspira, review Personnel History Profiles (PHPs) and initiate recruitment tracks in Nucleus;
  • Evaluate, screen applications and short list candidates for competency-based interviews;
  • Participate in interview assessment panels for locally-recruited staff as HR ex-officio;
  • Recruit and onboard successful candidates; induct newly-recruited staff, brief them on conditions of service, ensuring personnel forms are completed accurately for status files;
  • Respond to enquiries and provide information and advice to staff regarding administrative procedures, processes and practices;
  • Ensure recommendations regarding changes in contractual status of staff comply with established policy and procedures;
  • Liaise with Hiring Managers and counterparts in the Regional Service Center Entebbe (RSCE);
  • Initiate, review and process recruitment of Consultants and Individual Contractors (ICs); check-in, on-board and monitor expirations of their contracts, process extensions and/or check-out forms;
  • Develop proficiency in relevant UN Human Resources information management systems such as INSPIRA, IMIS, FPMS, UMOJA and FSS;
  • Monitor and extend contracts for Consultants and ICs and process check-out documents;
  • Assist in research and drafting case reviews on rules, policy and procedures as well as routine correspondence;
  • Maintain and archive recruitment files;
  • Perform other office administration related duties as may be required.

Qualifications:

Education: Secondary School certificate.

Required Experience:
At least four (4) years of progressively responsible experience in Human Resources or related area.
Experience with the United Nations, Non-Governmental Organizations or other International entities is required.

Languages: Good understanding of oral and written English.

Skills: Computer skills
