FUNCTIONAL TITLE: Administration and Management Assistant
DURATION: 6 months

BACKGROUND
With the upcoming implementation of Umoja, the OIC office of management requires an individual contractor to compile relevant data and financial statistics as required, to assist with identifying what
procedures need to change with the deployment of the new system. The consultancy is also required to assist with establishing and mainstreaming key performance indicators related to the different areas of management including monitoring the performance on these indicators. Support is also required to help establish a streamlined way of following up on pledges to maximise the level of core contributions, particularly in the light of declining voluntary core contributions. Finally, the consultant will assist with finalising the work plan of the Office of Management for the year 2015-16.
RESPONSIBILITIES
- Under the direct supervisor of Officer-in-Charge, Office of Management, the incumbent’s responsibilities include:
- Ensure timely follow up of Umoja action points for follow up by the Office of Management during the ramp up period to minimize bottlenecks;
- Assist with development of Office of Management – management information dashboard with all the key statistics and indicators for all the units to facilitate decision making and proactive management of issues
- Assist with finalization of key performance indicator framework to be presented as part of SMB regular meeting
- Assist with development of simplified procedures for administrative areas that have identified bottlenecks
- Assist with the finalization of the annual work plan for the Office of Management for 2015-16
- Assist with the finalization of reminder letters to Member States relating to pledges and requests for core contributions;
- Any other duties as assigned by Head, Office of Management.

Education
High school diploma or equivalent. Diploma/Degree in Finance is added advantage.
Work Experience
At least four years’ experience in administration and finance.
Language
English and French are the working languages of the United Nations Secretariat. For this position fluency in oral and written English is required. Working knowledge of other UN official languages is an asset.
REMUNERATION
The Consultant will be paid on a monthly basis, subject to satisfactory performance of the duties outlined above.
