Summary:
JOB PURPOSE:To provide support to the finance team through the timely and accurate processing of financial and accounting data.
REPORTS TO:
Accountant
BUDGET AND RESOURCE RESPONSIBILITY:
Petty cash – local and foreign currency
Cheque books
Safe and all items in the safe
KEY RESPONSIBILITIES:
- Collect cash from the bank daily, weekly as required and order foreign currency from the bank in good time so that Programme activities are not disrupted.
- Meet with PIs or department heads as required to discuss new float arrangements or large advances.
- Make cash payments/ payouts as required and ensure that all procedures are followed including authorisation of expenditure for each item.
- Prepare daily, weekly and monthly bank reconciliation statements for the Programme’s bank accounts and follow up bank/banks on identified reconciling items.
- Check and review coding of transactions before posting transactions to accounting system.
- Manage petty cash, carry out daily reconciliations and generate daily reports for review and approval by the Accountant; update cash books as necessary.
- Report overs or unders on a daily basis following daily reconciliations and checks.
- Requisition petty cash and cheque books as needed and replenish the petty cash floats for various floats used by the Cash Office.
- Ensure that all monies for banking are balanced and ready for encashment by noon each day and that they are posted on a banking control sheet with relevant coding; all other monies must be logged and locked in the safe at all times.
- Ensure that any advances to staff are posted to the Advances Control Sheet
- Accurately file all documents including summaries and reports.
- CPA I or ACCA I
- Two years accounting experience
- Data entry and records maintenance skills
- Book keeping and accounting skills
- Ability to use accounting packages and MS Excel
- Analytical ability and attention to detail
- Good organisation skills and ability to prioritise own work
- Proactive with the ability to work under minimal supervision
- Confidentiality, integrity and accountability
- Team working and ability to work in a multi-cultural environment
