Our client, a Below-The-Line (BTL) marketing agency, with experience in delivering brand experiences is recruiting for an Office Administration Assistant.
The Office Administration Assistant will be an essential position and will ensure the day to day running of the office is carried out smoothly and will be the contact point between Management, Client and Team Members.Job Purpose: Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.
Location: Nairobi
Start date: Immediate
The prospective employee will be expected to fulfill the following
responsibilities:
Reporting
The team will provide feedback on pending work to the Administrative Assistant then communicate the same to Management
  • Ensure all project deadlines are met and escalate to Management when/if necessary
  • Prepare reports for Management: Pending Work (daily), Pre-qualification reports (when they arise)
  • Office Management
  • Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
  • Maintain the filing system of the company such as hardcopy, softcopy that are related to the job
  • Prepare all tender prequalification documents
  • Handle all Corporate Communication inquiries
  • Provide support and handle enquiries from employees.
  • Maintain office diary (bookings & project deadlines)
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Contribute to team effort by accomplishing related results as needed
The Successful Candidate MUST meet the following Requirements:
  • Diploma holder; University/College degree an asset
  • Minimum 5 years’ experience as Administrative Assistant
  • Ability to juggle multiple tasks with superb accuracy and time management skills
  • Strong sense of urgency and problem solving skills
  • Must be computer savvy and proficient in MS Office
  • Excellent written and verbal communication skills
