Title: Administrative Assistant-Legal

Main Purpose of the Job
General administration duties including but not limited to scheduling meetings, responding to routine correspondence; organizing responses in order of priority; update of filing systems, monitoring and ensuring availability of stationery and other working tools.
Performs all general office duties required for a legal office including transcribing and formatting legal documents and business correspondence, filing, and law documents maintenance and general company secretarial duties.
Key Responsibilities
- Providing a first point of contact for and giving response to queries from employees from all functions within the EA business unit.
- Answering all general phone calls received in the department and directing them to the relevant persons.
- Receiving and sorting out incoming and outgoing mail and ensuring they are distributed or dispatched to the intended recipients on time and maintaining a record of such correspondence as necessary.
- Booking appointments for the General Counsel and the Legal Counsels in the department and organizing meetings and functions hosted by the department.
- Responding to routine correspondence and management of third party shareholder queries for UTKL and LTC, the listed entities in EA.
- Management of the register for company assets, e.g. land titles and motor vehicle registration books.
- Maintenance of all company records for the EA companies, including corporate documents, and ensuring annual filing of the requisite company and other legal returns with respective company registries.
- Maintaining the filing and archiving system to ensure that documents are kept in an orderly and secure manner and that sensitive company documentation is secured in the departmental safes.
- Management of travel, expenses and meetings on behalf of the department as well as invoice management and expense reporting.
- Any other duties as may be assigned
- Degree/diploma in secretarial and/or Legal Studies
- 3 – 5 years working experience in a busy office or legal secretary in legal practice.
- A good command of the English Language and good communication skills
- Computer skills in all MS-Office packages
- Basic legal knowledge added advantage
