Administrative and Customer Care Assistant-Amana Capital Limited

• Handle all telephone callers and visitors in courteous and timely manner in line with Company values. Make and record appointments on behalf of the Managing Director and other management staff . Operate office equipment such as photocopier, facsimile machine, switchboard, as necessary. File correspondence and other records so that they can be easily found when needed. Receive and timeously distribute and/or respond toincoming and outgoing mail. Draft letters and reports on behalf of the Managing Director and other Management Staff
• Ensure that clients visiting the office are met, greeted and offered hospitality as part of PR and client relations management. Prepare agendas or programs for meetings. Organise business itineraries, travel arrangements, conferences, meetings and social functions 
• In consultation with the Finance & Admin Manager, arrange/plan for the purchase of office supplies
and manage the same. Ensure that all offices are cleaned and maintained in good order and supervise the cleaning staff. • Ensure that all documents are formatted, printed and bound to the Company’s standards. • Assist staff in preparing presentations and co-ordinate use of Company meeting rooms and board room. • Provide Customer Service to customers through meetings, telephone and e-mail responses. 
• Undertake sales to walk-in clients and those enquiring on the Company’s products by phone and/or email. • Provide support to the Head of Customer Care in processing receipts, payments and respond to queries whether by walk-in, calling or emailing clients. • Update the website and other marketing materials as may be directed by the Customer Care & Marekting Manager.• Co-ordinate the use of any Company’s vehicles and supervise the driver(s). 
Qualifications and Requirements
Bachelor Degree, 1-2 years of administrative experience and significant customer service experience.
